How to Secure Your Spot
Vendor spaces are limited and in high demand. To apply, complete the vendor application form in full. If your application is accepted, payment instructions will be sent by email. All fees must be paid in full via Interac e-Transfer or wire transfer. Please note that we do not accept deposits or partial payments. Once submitted, your application will be reviewed within 3 to 5 business days. Approval is not guaranteed, and confirmation of participation will only be provided upon acceptance.

All vendor applications are subject to review and approval by the Foodville organizing team. Submission does not guarantee acceptance. Fees are non-refundable under any circumstances, and incomplete applications will not be processed. Only one vendor is allowed per booth space, and booth sharing is not permitted. All booth displays, including signs, banners, and equipment, must remain within your assigned area and may not extend into festival aisles or walkways. Please note: Vendors will not be permitted to sell any form of beverages at this year’s festival. This includes bottled water, soft drinks, juices, or any other drinkable products. Beverage sales will be handled exclusively by the event organizers.

Booth Details
All vendors will receive a standard booth space measuring approximately 10x10 feet. A larger 10x20 foot space is available upon request and will incur an additional cost. The vendor fee includes your assigned booth space, HST, one 15-amp electrical outlet, and the official Foodville Festival selling permit. Tents will be provided; however, vendors are responsible for supplying their own tables, chairs, and equipment within the allocated space. If you plan to use your own branded tent, please submit a photo of your setup for approval. Please note that no discounts will be provided for using your own tent.

Insurance Requirements
All vendors are required to submit a Certificate of Insurance with a minimum liability limit of $1,000,000 for bodily injury and property damage. The coverage must be valid for the duration of the event. If you do not currently have insurance, a link to purchase event-specific coverage will be provided upon acceptance. The Certificate of Insurance must be submitted no later than July 1st, 2025.

Foodville Festival will feature different areas throughout the event grounds, some of which may come with premium fees. While vendors may express interest in these spaces, final booth placement will be determined by the Foodville team based on product type, presentation, and the overall event layout. This approach ensures a balanced and engaging experience for attendees and avoids excessive duplication of similar offerings. Although we do our best to consider placement preferences, all final decisions are at the discretion of the organizers and may not be changed once assigned.
